Student Management

Manage all aspects of student information and records in SchoolPalm.

Student Enrollment

Add a New Student

  1. Navigate to Students → Add New

  2. Enter student details:

    • Full name
    • Date of birth
    • Gender
    • Class/Grade
    • Roll number
    • Registration date
  3. Add family information:

    • Parent/Guardian name
    • Contact number
    • Email address
    • Relationship
  4. Upload documents:

    • Birth certificate
    • Previous school records
    • Medical information
  5. Click Enroll Student

Bulk Import

Import multiple students at once:

  1. Go to Students → Import
  2. Download the CSV template
  3. Fill in student details
  4. Upload the file
  5. Review and confirm

Student Profiles

View Student Information

Each student has a complete profile including:

  • Personal information
  • Contact and family details
  • Enrollment history
  • Academic records
  • Attendance summary
  • Fee payment status
  • Documents and certificates

Update Student Information

  1. Find the student in the list
  2. Click on their name
  3. Click Edit Profile
  4. Make changes
  5. Click Save

Note: Some fields (like date of birth) may be locked for older records.

Documents & Certificates

Upload Documents

  1. Go to student profile

  2. Click Documents

  3. Click Upload

  4. Select document type:

    • Birth certificate
    • Transfer certificate
    • Medical report
    • Previous marks
    • Others
  5. Upload the file

  6. Add notes if needed

Generate Certificates

Generate common certificates:

  • Transfer Certificate - Issued when student leaves school
  • Character Certificate - General conduct certificate
  • Grade Certificate - Academic performance certificate
  • Completion Certificate - Upon graduation

Bulk Operations

Export Student List

Export all student information to Excel or CSV:

  1. Go to Students
  2. Click Export
  3. Select format (Excel/CSV)
  4. Choose fields to include
  5. Download file

Update Multiple Students

  1. Go to Students → Bulk Actions

  2. Select students

  3. Choose action:

    • Change class
    • Update contact information
    • Modify status (active/inactive)
    • Add tags or notes
  4. Apply changes

Student Status

Manage student status:

  • Active: Currently enrolled
  • On Leave: Temporary absence
  • Graduated: Completed their course
  • Transferred: Moved to another school
  • Inactive: Not currently active

Search & Filter

Find students quickly:

  • Search by name, roll number, or ID
  • Filter by class, section, or status
  • Sort by enrollment date or name
  • Use advanced filters for complex searches

Reports

Student Reports

Generate various student reports:

  • Class Roster - All students in a class
  • Grade-wise List - Students by grade
  • New Enrollments - Recently joined students
  • Student Performance - Academic progress
  • Fee Default - Outstanding fee status

Export Options

  • PDF: For printing
  • Excel: For analysis
  • Email: Send directly to stakeholders

Your student data is protected:

Common Tasks

Need the transfer certificate?

  1. Go to student profile
  2. Click Documents → Generate → Transfer Certificate
  3. Download or email

Update class for all students?

  1. Go to Students → Bulk Actions
  2. Select all students in old class
  3. Choose “Change Class”
  4. Select new class
  5. Apply

Archived students?

  1. Check “Include Inactive”
  2. They appear in results

Troubleshooting

Can’t find a student?

  • Check if they’re marked as inactive
  • Try searching by ID number
  • Check different class/sections

Document upload failed?

  • Ensure file is under 10MB
  • Check file format (PDF, JPG, PNG)
  • Try a different browser

Export taking too long?

  • Try exporting smaller groups
  • Export to Excel instead of PDF
